Five Everyday Money Traps for Small Businesses
At our practice, we're not here to judge. We work with tradespeople, sole traders and small businesses every day, and we've learned that most financial mistakes happen for one simple reason: life gets busy. Whether you're on-site all day, meeting customers or juggling family life, it's easy for the paperwork to take a back seat. Here are five of the most common issues we help clients overcome.
💳 "I use one bank card for everything—it just seemed easier."
One client came to us with personal shopping, fuel, business materials and family expenses all flowing through the same account. Untangling everything at year-end was time-consuming and stressful.
Why it happens: It's often easier when you're starting out, especially if your business grows quickly.
How we helped: We recommended separating business and personal finances, making bookkeeping simpler, reducing errors and giving them a much clearer picture of how their business was actually performing.
💰 "I didn't realise quite how much tax I'd need to pay."
This is one of the hardest conversations we have because it often comes as a genuine shock. A profitable year is fantastic—but if you haven't set money aside for tax, that success can suddenly feel stressful.
Why it happens: Many people assume the money sitting in the bank belongs to them.
How we helped: We worked with the client to understand their likely tax liabilities and introduced a simple system of putting aside money each month. The following year, their tax bill was expected—not feared.
🧾 "It's only a few pounds... it probably isn't worth keeping the receipt."
Whether it's parking, screws, stationery or a coffee bought during a business meeting, small purchases are often forgotten.
Why it happens: Individually they don't seem significant.
How we helped: We showed the client how lots of small, allowable business expenses soon add up over the course of a year. Using receipt capture apps also meant nothing was left crumpled in a van door pocket or jacket pocket again.
📅 "I'll send the invoice when I get a minute."
One business owner had completed thousands of pounds' worth of work but hadn't invoiced several customers because they'd simply been too busy doing the next job.
Why it happens: Serving customers always feels more urgent than administration.
How we helped: We encouraged them to invoice as soon as a job was completed. Their cash flow improved almost immediately, and they spent far less time chasing payments.
📈 "There's money in the bank, so I must be doing alright."
It's an easy assumption to make—but your bank balance doesn't tell the whole story. It doesn't account for VAT, tax, unpaid supplier invoices or money customers still owe you.
Why it happens: It's the quickest measure of success when you're busy.
How we helped: We introduced regular financial reviews so the client understood not just how much cash they had, but how profitable the business really was. Better information led to better decisions.
The important thing is this: none of these clients were bad business owners. In fact, they were all hardworking people who cared deeply about their businesses. They simply needed someone to help them make sense of the numbers.
